Beep Productivity Inc., a Delaware corporation and its affiliates (“Beep,” “Just Beep It!”, “we,” “us,” or “our”) have prepared this Privacy Policy to explain what Personal Data (defined below) we collect, how we use and share that data, and your choices concerning our data practices. Through our chrome extension, we allow individuals (“Users” or “you”) to control your workflow & collaboration in an easy, quick and fun way. The chrome extension under the trade name "Beep! - Review Websites 4x Faster", the Beep dashboard: https://web.justbeepit.com, and webportals under the trade name of Beep: https://justbeepit.com (the “Site”) are referred to collectively in this Privacy Policy as the “Service”.

This Privacy Policy is incorporated into and forms part of our Terms of Service (End User SaaS Agreement).

Before using the Service or submitting any Personal Data to Beep, please review this Privacy Policy carefully and contact us if you have any questions. By using the Service, you agree to the practices described in this Privacy Policy. If you do not agree to this Privacy Policy, please do not access the Site or otherwise use the Service.

Our Data Processing Principles

  • Personal data is only collected and processed in accordance with applicable laws and EU regulations.

  • Direct email communications are only sent out with consent gained when registering for an account. However, system messages (such as in-browser notifications) can be sent without a consent.

  • Data is stored as safely as possible.

  • Personal data is transferred to third parties only in accordance with a prior consent.

  • Information on the data stored on persons can be requested by Users in writing by e-mail to farid@justbeepit.com

Your Consent

By using our Service, you agree and accept that we process, store and use the personal data submitted in accordance with the rules set forth below. In case you want your personal data removed permanently, please contact us.

What data do we collect from you?

We collect information about you ("Personal Data") when you provide it to us, when you use our Service, and when other services provide it to us.

Account information: We collect information about you when you register for an account on Beep. All users will minimally be requested for their name and email addresses upon signing up (this also applies when users register using Google oAuth).

Information you provide by using our Service: This pertains to any information that appears or is featured on the content that you create, store and share using Beep's chrome extension and dashboard.  Examples of such content includes, but is not limited to, any screenshots, screen-recordings, file attachments, comments and replies created, team names assigned, as well as project folder and hashtag names.

Website Analytics: We collect information when you register on our site, or fill out a form. If you are one of our website visitors, we may collect non-personally-identifying information such as the browser type used, device being used, the referring site and date, time of each visit and certain actions done within the site.

Information we collect automatically when you use our Service: We track certain statistical information about users when they interact with any part of our Service. This includes the number of screenshots & comments created, the number of project folders created, the number of hashtags created, the number of invites sent and the number of teams created.

How do we collect your data?

​We collect your data when you:

  • Register, purchase, and/or use any extent of our Service (i.e., browser extension, dashboard, and website).

  • Voluntarily complete a contact form, customer survey or provide feedback via email.

  • Use or view our website via browser’s cookies. A cookie banner to modify or decline such cookies is visible and available to EU-based site visitors in compliance with GDPR guidelines. However, to provide a faster, and less interruptive experience for non-EU site visitors, we have chosen not to make the cookie banner visible nor available to them. At the moment, a cookie banner is not required by other regulations, such as the California Privacy Rights Act (CPRA; or CCPA, as amended) which we also comply with. If these regulations explicitly decree, at a future moment in time, that cookie banners are required, Beep will respect it.

How will we use your data?

Any of the information we collect from you (either personally-identifying or non-personally-identifying) may be used in one of the following ways:

 

To fulfil the purpose of our Service: Your chosen username and avatar and any other voluntarily provided data that identifies you will be viewable throughout the extension and dashboard to facilitate collaboration with other users and help fulfil the purposes of our Service. Additionally, all data you create and share while using our Service (including, but not limited to, posts, comments, replies, screenshots, screen-recordings, uploads) (hereby referred to as " User Submissions "will be displayed on the Beep extension and/or Beep dashboard for the fulfilment of our Service's purpose. Depending on permissions assigned and any present team-shared projects or comments, User Submissions can be viewed and accessed by other users and at times even guests or non-users.

To personalize your experience: data (primarily usage statistics) helps us to improve our product's features, design, and overall user experience to make our Service more useful and valuable to our users.

To improve our website: we continually strive to improve our website offerings based on the information and feedback we receive from you.

To improve customer service: your information helps us to more effectively respond to your customer service requests and support needs.

To process transactions: your information, whether public or private, will not be sold, exchanged, transferred, or given to any other company for any reason whatsoever, without your consent, other than for the express purpose of delivering the purchased product or service requested.

To administer a contest, promotion, survey or other site feature.

To send periodic emails: The email addresses you provide, will only be used to send you information and updates pertaining to your order.

Note: If at any time you would like to unsubscribe from receiving future emails, we include detailed unsubscribe instructions at the bottom of each email. Please note, that using by opting-out of receiving Beep emails means potentially missing out on any promotions or product updates that are released via this channel.

Who do we share your data with?

While using our software, your name, username and avatar (which are all chosen during the signup process) are viewable to others.

 

Additionally, data that is created using our software (as a User Submission) - which includes, but is not limited to, comments, screenshots, project titles, file attachments, screen recordings - can be accessed and viewed by both users and non-users depending on who you share it with. Keep in mind that the people you share feedback with may, for whatever reason, choose to share it with someone else. As such, the amount of Personal Data you reveal (as well as the risks therein of it being viewed by unknown third-parties) is up to your discretion.

 

Furthermore, to optimize the Services we offer, Beep engages and shares certain data with approved subprocessors. These selected third-parties help us in capacities including, but not limited to, user analytics, payments, communications, data hosting, storage & encryption. Find more information on our subprocessors.

We do not sell any information to third-parties. Any information you directly or indirectly share while using our Service (including website information that is displayed on screenshots and screen recordings) is not and will not be sold. Nevertheless, if you are a website owner, you have the right to request any data displaying your website be taken down from our platform and servers.

How do we store your data?

Your data is stored on our dedicated servers and protected using encryption in both transit and at rest in accordance with industry-standard security measures. You can find out more about our Security Policy here.

 

Furthermore, Beep will inform you immediately, to the extent we are legally authorized to do so, in case of any application or order originating from an administrative or judicial authority relating to your personal data.

How do we protect your information?

Organizational Security

We follow the principle of least privilege (PoLP) in determining which personnel gets access to data and how much data they have access to. All personnel that are involved, to any capacity, in data processing are given adequate training and instructed according to data privacy regulations. Furthermore, we enforce strict usage of password managers, as well as office and equipment access rules which are conveyed during new employee orientation sessions.

Technical security

We offer the use of a secure server. All supplied sensitive information is transmitted via HTTPS/Secure Socket Layer (SSL) technology and then encrypted at rest using Advanced Encryption Standard (AES)-256.

Payment security

Beep does not handle nor have any access to your payment details.

 

All transactions made to subscribe to any of our paid plans are done through Stripe, a secure payment provider with a PCI DSS Level 1 certification. You can find out more about Stripe's security here.

How long do we keep your information?

Beep will not store user data any longer than is necessary to fulfil its purposes. The specific duration of how long user data is kept depends on the type of information. After the determined time has passed, we will either delete or anonymize your information or, if this is not possible (for example, because the information has been stored in backup archives), then we will securely store your information and isolate it from any further use until deletion is possible.

 

Account information: We retain your account information for as long as your account is active and a reasonable period thereafter in case you decide to re-activate the Service.  We also retain some of your information as necessary to comply with our legal obligations, to resolve disputes, to enforce our agreements, to support business operations, and to continue to develop and improve our Service.

 

Information you share on our products: If your account is deactivated or disabled, some of your information and the content you have provided will still be accessible by default in order to allow your team members or other users to make full use of our products. For example, we will continue to display comments, screenshots, files, screen-recordings and replies you created to users you shared them with. If necessary and under certain circumstances, you have the right to request to have all this data removed entirely. If you wish to do so, please contact us.

 

Managed accounts: If the Service is made available to you through an organization (e.g., your employer), we retain your information as long as required by the administrator of your account.

 

Marketing information: If you have agreed to receive marketing emails from us, we retain information about your marketing preferences for a reasonable period of time from the date you last expressed interest in our products, such as when you last opened an email from us or signed in to your Beep account. Opting out (unsubscribing) from our marketing channels will start to a 15-day timer, after which your subscriber data will be removed from that specific marketing channel's database.

Marketing Communications

When signing-up for a Beep account, you allow us to send you, via email, product usage guides, development updates, and product promotions.

 

We will not hand over your personal data to any third party or partner with which we don't have a Data Processing Agreement (DPA). Whenever you want us to stop communicating with you, you can simply unsubscribe using the options available at the top & bottom of every Beep email or you can also contact us.

What are your data protection rights?

Beep would like to make sure you are fully aware of all of your data protection rights. In compliance with the EU's GDPR (General Data Protection Regulations) guidelines, every user is entitled to the following:

  1. The right to be informed (GDPR Art. 12 to 14) – You have the right to be informed about the collection and use of your personal data.

  2. The right to access (GDPR Art. 15) – You have the right to request Beep for copies of your personal data. We may charge you a small fee for this service.

  3. The right to rectification (GDPR Art. 16)– You have the right to request that Beep corrects any information you believe is inaccurate or outdated. You also have the right to request Beep to complete the information you believe is incomplete.

  4. The right to erasure (GDPR Art. 17)– You have the right to request that Beep erases your personal data, under certain conditions. Note that this is not an absolute right and may be subject to exemption based on certain laws.

  5. The right to restrict processing (GDPR Art. 18)– You have the right to request that Beep restricts the processing of your personal data, under certain conditions.

  6. The right to withdraw consent (GDPR Art. 7)– You have the right to withdraw previously given consent to process your personal data.

  7. The right to data portability (GDPR Art. 20) – You have the right to request that Beep transfers the data that we have collected to another organization, or directly to you, under certain conditions.

  8. The right to object to processing (GDPR Art. 21)– You have the right to object to Beep's processing of your personal data, under certain conditions.

  9. The right to object to automated processing (GDPR Art. 22)– You have the right to object to decisions being made regarding your personal data solely based on automated decision making or profiling.

All requests will be fulfilled within 30 days - in accordance with data & privacy regulations. If you would like to exercise any of these rights, please contact us.

California Privacy Rights Act (CPRA)

Beep respects and complies with the CPRA, which outlines privacy regulations that amends the California Consumer Privacy Act (CCPA) which took effect in January 2023, and includes additional privacy protections for consumers who are California residents.

For more details about the personal information we collect, please see the "What data do we collect from you", and "How will we use your data" sections above. As described in the “How will we use your data” section, we collect this information for business purposes and may share this information as described in the “How we share information” section above. Beep does not sell any personal information we collect (as defined in the CPRA).

Specifically, the CPRA provides consumers who are California residents the right to:

  1. Know about the personal information a business collects about them and how it is used and shared;

  2. Delete their personal information;

  3. Opt-out of any “sales” that may be occurring;

  4. Not be discriminated against for exercising these rights;

  5. Correct inaccurate personal information that a business has about them; and

  6. Limit the use and disclosure of sensitive personal information collected about them.

California consumers may make a request to Beep pursuant to these rights by contacting us. We will verify your request by using the information (such as the email address) associated with your account or by requiring Government-issued identification.

 

You may designate an authorized agent or a business entity registered with the California Secretary of State to exercise these rights on your behalf. Please note that if you use an authorized agent, we may require more information from either the authorized agent or from you to verify that the agent is acting in your stead. This could come in the form of signed permission provided by the authorized agent, or a direct confirmation from you granting the agent to submit the request.

Cookies are text files placed on your computer to collect standard Internet log information and visitor behaviour information. When you visit our websites, we may collect information from you automatically through cookies or similar technology.

In certain circumstances providing Personal Data is optional. However, if you choose not to provide Personal Data that is needed to use some features of our Service, you may be unable to use those features.
